Pen and paper on a clean desk — printable planning worksheet

Not every productivity system belongs on a screen. Tactile planning — pen on paper, in a quiet space away from notifications — has a cognitive quality that digital tools can't replicate. For the Eisenhower Matrix, a printed worksheet gives you a single-page planning surface that forces you to think before you write. There's no undo, no reorganizing by drag-and-drop. Just deliberate placement.

The printable PDF templates (US Letter and A4) are coming soon. In the meantime, the best zero-setup alternative is Focus Quadrant — your matrix is live and interactive from the moment you sign up, no printing required.

    Why Printable Templates Work

Research on handwriting vs. typing suggests that writing by hand produces deeper encoding and better retention than typing the same content. For task planning, the deliberate act of writing a task name and choosing a quadrant produces a cleaner decision than clicking and typing in a digital tool. The friction is the feature.

There are three specific contexts where printable templates outperform digital tools: meeting rooms without laptops, deep-focus morning planning sessions where you want to stay off screens, and team workshops where everyone needs an identical planning surface.

How to Use the Printable Matrix

    Daily (morning ritual)

Print one page per day. Use 10 minutes each morning to fill in today's tasks by quadrant. 3–5 tasks per quadrant maximum. Place the sheet on your desk where you'll see it throughout the day.

    📅
    Weekly (review session)

Print one page per week during your Sunday or Monday review. Use the larger space per quadrant to map out the full week. Allows more tasks per quadrant than the daily format.

    👥
    Team workshop

Print one per person. Have everyone independently classify a shared task list, then compare quadrant assignments as a group. Surfaces misaligned priorities instantly.

Here's what the printed worksheet looks like at full size. The template uses generous task lines (6 per quadrant), clear axis labels, and a minimal header with date and name fields.

    Tips for Printing Effectively

    • 🖨
Set margins to None or Minimum. Most PDF viewers default to adding small margins. For the cleanest output that matches the template design, set margins to "None" or use the "Fit to page" option in your print dialog.
    • 📄
Print single-sided only. The template is designed for single-sided use. Double-sided printing causes bleed-through that obscures the task lines.
    • 🔲
Laminate one copy for daily reuse. Print one sheet, laminate it at a copy shop (less than $2), and use a fine-tip dry-erase marker. Wipe clean at the end of each day. 1 laminated sheet = unlimited daily use.
    • 📋
Print 5 copies at the start of each week. If you don't laminate, batch-printing 5 sheets on Monday morning removes the friction of printing daily. Stack them on your desk. Grab a fresh one each morning.
    • 📏
Scale to 50% for planner inserts. The template scales well to A5 (half-A4) or half-letter for use as a planner insert. Set your print scale to 50% in the print dialog and print two per sheet with the "Multiple pages per sheet" option.
When digital is better than printable

The printable matrix is optimized for single-session planning. If you need any of the following, a digital tool is the right choice:

    • You need to move tasks between quadrants as priorities change during the day
    • You want urgency indicators that update automatically as due dates approach
    • You want a done log that tracks completed tasks over time
    • You want to collaborate — share a matrix with teammates or assign tasks
    • You want a built-in Pomodoro timer that connects prioritization to execution
Want a matrix that updates itself?

Focus Quadrant is the digital version — drag-and-drop, automatic urgency indicators, AI suggestions, and a built-in Pomodoro timer. No printing required.

    Frequently Asked Questions

Is there a free printable Eisenhower Matrix?

Yes. The PDF templates on this page are free — no sign-up required. There are two sizes: US Letter (8.5×11") for North American printers, and A4 for international printers. Both include a clean 2×2 grid, quadrant labels, an axis legend, and lined task areas.

How do I print an Eisenhower Matrix?

Download the PDF, open it in any PDF viewer, select File → Print. Set margins to "None" or "Minimum" for the cleanest output. Print single-sided. For regular use, print 5 copies at the start of each week or laminate one copy and use a dry-erase marker for daily use.

What size should an Eisenhower Matrix be for printing?

US Letter (8.5×11") or A4 (210×297mm) both work well. For desk use, a full page gives plenty of space for task names. For a planner or notebook insert, the template can be scaled to 50% for an A5 or half-letter size — set your print settings to 50% scale.

Can I use a printable Eisenhower Matrix for a team?

Yes, for workshops, retrospectives, and sprint planning sessions. Print one per person, run through the exercise together, then discuss classifications as a group. For ongoing team use, a shared digital tool is more practical since task owners can update their own quadrants in real time.

What's the difference between a weekly and daily printable matrix?

A daily matrix has smaller task areas (3–5 tasks per quadrant) and is designed for the morning planning ritual — 10 minutes each morning to place today's tasks. A weekly matrix has more space per quadrant and is used during a Sunday or Monday review to map out the whole week. Start with the daily version if you're new to the framework.
